Job Description

Executive Assistant Overview

  • The Executive Assistant supports C-Suite leadership, ensuring seamless coordination and communication across the Finance department.
  • Collaborates with executives, stakeholders, and teams to manage daily operations and strategic initiatives.
  • Handles sensitive information with utmost discretion and professionalism.
  • Provides comprehensive administrative support, including scheduling, travel arrangements, and document preparation.
  • Coordinates leadership meetings, prepares executive materials, and ensures timely follow-ups.
  • Supports team engagement activities, internal communications, and special projects.
  • Manages expense reporting, document management, and other administrative operations efficiently.
  • Contributes to onboarding and offboarding processes and operational needs.
  • Offers a dynamic and collaborative work environment with growth opportunities.

Executive Assistant Key Responsibilities & Duties

  • Coordinate calendars, travel, and meeting logistics for the CFO, ensuring prioritization and conflict management.
  • Prepare agendas, presentations, and documentation for leadership and board-related meetings.
  • Track action items, deadlines, and manage follow-ups across stakeholders.
  • Assist with Town Hall coordination, team engagement activities, and special projects.
  • Manage administrative operations, including expense reporting and document management.
  • Support onboarding/offboarding activities and internal communications.
  • Handle sensitive financial and organizational information with discretion.
  • Collaborate with cross-functional teams to ensure operational efficiency.
  • Maintain a high level of professionalism and confidentiality in all tasks.

Executive Assistant Job Requirements

  • Bachelor’s degree with 5+ years of experience supporting senior executives, preferably in Finance or Legal.
  • Exceptional organizational and prioritization skills with attention to detail.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Teams, Word, and Excel.
  • Experience preparing executive materials and supporting leadership communications.
  • Strong judgment, problem-solving skills, and ability to manage competing priorities.
  • High level of discretion and confidentiality when handling sensitive information.
  • Ability to operate independently while collaborating effectively with teams.
  • Experience in coordinating meetings and managing operational needs.
  • Strong written and verbal communication skills for effective stakeholder engagement.
