Job Description

Responsibilities:

  • Provide operational and logistical support to senior leadership.
  • Coordinate schedules, manage travel arrangements, and handle event planning, including office social events and all-hands meetings.
  • Maintain inventory and order office and kitchen supplies. Ensure spaces are organized and tidy.
  • Manage invoicing and expense reporting through the organization's financial system.
  • Serve as the point of contact for vendors and handle office maintenance, mail, deliveries, and other necessary services.
  • Oversee office security protocols and ensure safety procedures are followed.
  • Maintain a welcoming office environment, assisting with reception duties and internal communication related to office operations.
  • Ensure compliance with health and safety regulations and manage office safety protocols.
  • Prioritize and manage multiple projects, maintaining accurate documentation and filing systems.

Qualifications:

  • 3+ years of experience in an Office Manager role or similar, supporting senior management and/or multiple departments.
  • Demonstrated problem-solving skills with a proactive approach to addressing challenges.
  • Excellent customer service orientation and strong interpersonal skills.
  • Highly organized with a keen attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office applications; familiarity with Google Suite is a plus.
  • Experience with business management platforms like Workday, Salesforce, and financial systems.
  • Willingness to work flexible hours as needed.
  • Ability to handle physical aspects of the job, including lifting supplies up to 25 lbs.
