Job Description

Summary:

The IR Operations Associate will support the investor relations team in delivering high-quality service and information to the firm's investor base. This individual will work closely with internal teams (such as portfolio management, finance, legal, and compliance) to ensure accurate and timely reporting and communication with investors. The role is also focused on maintaining operational efficiency, ensuring adherence to regulatory requirements, and driving the automation and scalability of processes.

Responsibilities:

  1. Investor Reporting:
  • Prepare and distribute quarterly and annual investor reports, including performance updates, fund financials, and portfolio overviews.
  • Ensure that all investor communications are accurate, consistent, and compliant with applicable regulations.
  • Assist in the creation and distribution of investor presentations and due diligence questionnaires (DDQs).
  1. Investor Onboarding:
  • Facilitate the onboarding process for new investors, including KYC/AML documentation, subscription agreements, and fund documentation.
  • Coordinate with legal and compliance teams to ensure proper documentation and adherence to relevant regulations.
  1. Data Management & CRM:
  • Manage and update the investor database and CRM (Client Relationship Management) systems, ensuring all investor information is accurate and up-to-date.
  • Track and log investor interactions and document key investor preferences, requests, and feedback.
  1. Investor Queries & Relationship Management:
  • Serve as a primary point of contact for investor inquiries related to fund performance, allocations, liquidity, and other ad hoc requests.
  • Ensure timely and professional responses to investor inquiries, working cross-functionally with other teams for necessary information.
  1. Operational Support:
  • Coordinate with the fund administration team to ensure accurate and timely investor allocations, capital calls, and distributions.
  • Ensure that the investor relations team follows operational best practices, implementing process improvements where necessary.
  1. Compliance & Regulatory Filings:
  • Ensure compliance with all regulatory requirements related to investor communications, filings (such as AIFMD, Form PF, etc.), and investor onboarding.
  • Maintain records for audits and regulatory reviews.
  1. Process Improvement & Automation:
  • Identify opportunities to streamline investor relations operations and enhance efficiencies through process automation or third-party tools.
  • Support the implementation of new technologies and systems to improve data management and reporting processes.
  1. Event Coordination:
  • Assist with investor events, roadshows, conferences, and webinars, ensuring smooth execution and providing logistical support.

Requirements:

  • 2-5 years of experience in investor relations, operations, or client services in a hedge fund, private lending, or financial services firm.
  • Prior experience with fund administration or middle-office functions is a plus.
  • Bachelor's degree in Finance, Business, Economics, or a related field.
  • Strong understanding of hedge fund or private lending structures, products, and regulatory requirements.
  • Proficiency in CRM systems (e.g., Salesforce) and Excel. Knowledge of fund accounting software is a plus.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize in a fast-paced environment.
  • Knowledge of financial regulations (e.g., AIFMD, FATCA, and AML/KYC requirements).
  • CFA Level 1 or CAIA certification is a plus.
  • Experience in a client-facing role or with institutional investors.
  • Familiarity with fund structures (e.g., offshore, onshore, SPVs).
