Job Description

Title: Grants & Contracts Specialist

Key Responsibilities

  • Draft, issue, and manage sub-grants and sub-contracts, ensuring compliance with funding agreements and internal policies.
  • Assist in responding to solicitations (RFPs, RFQs, etc.), reviewing proposals, and ensuring alignment with funding requirements.
  • Provide support for RFQ/RFP development for consultation and contracting services.
  • Manage RFP hosting and evaluation through platforms like Slideroom.
  • Collaborate with legal teams to review and finalize contract terms, ensuring proper compliance language is included.
  • Verify that procurement procedures are followed, and that budgeted costs are allowable and reasonable.
  • Act as a liaison to program teams, providing guidance on grant compliance and best practices.
  • Submit Federal Funding Accountability and Transparency Act (FFATA) reports, ensuring timely and accurate filings.
  • Review and process invoices and disbursements related to grants and contracts.
  • Work with internal and external stakeholders to resolve contract, grant, and payment-related inquiries.
  • Identify compliance risks, data quality issues, and process inefficiencies, proposing solutions for improvement.
  • Utilize Salesforce, Workday, Grants.gov, and other governmental grant management platforms.
  • Ensure proper documentation of cost-sharing commitments from grantees.
  • Manage grant and contract close-out processes, including contractor offboarding.
  • Maintain accurate project files and records for audit and compliance purposes.
  • Support special projects and process improvement initiatives as assigned.

Qualifications

Education & Experience:

  • Bachelor’s degree in Business Administration, Public Administration, or a related field preferred.
  • 5+ years of experience managing grants and contracts for federal and private funding.

Skills & Abilities:

  • Expertise in federal grant compliance, including 2 CFR 200.
  • Ability to work independently and under tight deadlines in a fast-paced environment.
  • Strong interpersonal and relationship-building skills to liaise with multiple departments.
  • Excellent written and verbal communication skills for reporting and policy interpretation.
  • Proficiency in Microsoft Office, with expert-level Excel skills.
  • Experience using Salesforce and Workday for grants and financial management (preferred).
  • Familiarity with Slideroom for RFP processing (preferred).
