Job Description

An investment firm in San Francisco is seeking an Executive Assistant to support a group of senior professionals in a fast-paced, high-performance environment. This individual must have prior experience supporting multiple executives, with a strong focus on travel coordination and calendar management.

Salary range: $120k – $125k base + paid OT and bonus

Hours: 8:30am – 5:00pm with flexibility to stay later for calls with global offices

Schedule: Onsite 4 days per week (specific days coordinated with the team)

Responsibilities:

  • Manage complex calendars for multiple stakeholders across global time zones, including frequent last-minute changes
  • Coordinate logistics for meetings, including room reservations, catering, and materials
  • Handle detailed domestic and international travel arrangements (flight, hotel, ground transportation)
  • Prepare and process expense reports in line with company policies
  • Draft, edit, and format internal and external communications, presentations, and documents
  • Maintain internal contact lists and support data entry
  • Plan and manage team events and welfare activities, including vendor coordination
  • Assist with recruitment coordination, including scheduling and candidate logistics
  • Train team members on internal systems (e.g., Concur, travel tools, Zoom)
  • Provide occasional support to visiting executives and leadership

Requirements:

  • Bachelor's degree preferred
  • At least 3 years of experience in an executive assistant or administrative role
  • Prior experience in financial services, hedge funds, or similar fast-paced industries strongly preferred
  • Mastery of travel coordination and calendar management for multiple leaders
  • Strong interpersonal skills with high discretion and professionalism
  • Ability to work independently and adapt quickly to shifting priorities
  • Proficiency in Microsoft Office, Concur, and travel booking platforms
  • Strong organizational skills with keen attention to detail
