Job Description
An investment firm in San Francisco is seeking an Executive Assistant to support a group of senior professionals in a fast-paced, high-performance environment. This individual must have prior experience supporting multiple executives, with a strong focus on travel coordination and calendar management.
Salary range: $120k – $125k base + paid OT and bonus
Hours: 8:30am – 5:00pm with flexibility to stay later for calls with global offices
Schedule: Onsite 4 days per week (specific days coordinated with the team)
Responsibilities:
- Manage complex calendars for multiple stakeholders across global time zones, including frequent last-minute changes
- Coordinate logistics for meetings, including room reservations, catering, and materials
- Handle detailed domestic and international travel arrangements (flight, hotel, ground transportation)
- Prepare and process expense reports in line with company policies
- Draft, edit, and format internal and external communications, presentations, and documents
- Maintain internal contact lists and support data entry
- Plan and manage team events and welfare activities, including vendor coordination
- Assist with recruitment coordination, including scheduling and candidate logistics
- Train team members on internal systems (e.g., Concur, travel tools, Zoom)
- Provide occasional support to visiting executives and leadership
Requirements:
- Bachelor's degree preferred
- At least 3 years of experience in an executive assistant or administrative role
- Prior experience in financial services, hedge funds, or similar fast-paced industries strongly preferred
- Mastery of travel coordination and calendar management for multiple leaders
- Strong interpersonal skills with high discretion and professionalism
- Ability to work independently and adapt quickly to shifting priorities
- Proficiency in Microsoft Office, Concur, and travel booking platforms
- Strong organizational skills with keen attention to detail
- Flexible and collaborative team player with a proactive mindset
