Job Description

Key Responsibilities:

Executive Support:

  • Act as the primary liaison for all communications and scheduling for the CEO
  • Manage a complex calendar and coordinate high-level meetings and appointments
  • Arrange domestic and international travel, including detailed itineraries and logistics
  • Interact with investment advisors, legal teams, and philanthropic organizations
  • Oversee and update the corporate website, assist with brand marketing and research initiatives
  • Maintain discretion in handling confidential corporate and financial matters

Estate Management:

  • Oversee maintenance, vendor coordination, and operations across four private residences
  • Manage an adjacent rental property, including tenant communication and expense tracking
  • Support construction and furnishing projects, vehicle leasing and servicing, seasonal boat maintenance
  • Handle insurance renewals and liaise with brokers regarding all property and personal policies
  • Collaborate with household staff to ensure seamless daily operations
  • Track and catalog artwork; manage related inventory systems and records

Personal Assistance:

  • Manage personal finances including bill payments, credit card reconciliations, and medical claims
  • Coordinate closely with outsourced family accountants and auditors
  • Support personal travel arrangements for the CEO and family
  • Provide direct assistance to the CEO’s spouse, including gift purchasing, reservations, social planning, and relocation logistics between residences

Qualifications:

  • Bachelor’s degree required, preferably in Business, Communications, or a related field
  • 7–10 years of experience supporting high-net-worth individuals or within a family office setting
  • Strong background in estate management and high-level administrative support
  • Experience with financial documentation and personal asset tracking
  • Exceptional discretion, confidentiality, and professionalism
  • Tech-savvy with proficiency in Microsoft Office; marketing or database experience is a plus
  • Detail-oriented, highly organized, and comfortable managing multiple competing priorities
  • A proactive, type-A personality who anticipates needs, solves problems, and thrives in a non-routine environment
