Job Description

Title: Executive Administrative Assistant

Key Responsibilities:

  • Manage a high-volume and complex executive calendar across multiple time zones
  • Coordinate domestic and international travel, accommodations, and itineraries
  • Serve as gatekeeper and liaison for internal and external communications, ensuring a professional and thoughtful tone
  • Track and manage executive to-do lists, meeting follow-ups, and recurring projects
  • Prepare polished correspondence, reports, PowerPoint presentations, and Board materials
  • Assist with event planning, executive dinners, investor meetings, and conference logistics
  • Monitor investor outreach timelines, maintain contact lists, and track participation in industry conferences
  • Prepare and submit expense reports and organize internal filing systems
  • Coordinate personal errands on occasion (e.g., reservations, appointments)
  • Maintain strict confidentiality and high standards of discretion in all work

Qualifications:

  • 5–7 years of experience supporting a C-suite executive, ideally within real estate or finance
  • Bachelor’s degree preferred
  • Proven track record of supporting a global executive with grace under pressure
  • Strong command of Microsoft Office (Word, PowerPoint, Excel); familiarity with investor relations platforms a plus
  • Highly organized, proactive, and detail-oriented with excellent follow-through
  • Warm, adaptable, and composed with a service-oriented approach
  • Flexible and responsive when urgent needs arise, including outside traditional hours
