Job Description

Title: Office Manager

Responsibilities:

  • Oversee general office functions and maintain internal operations tracking, including document status charts, AMF charts, budget reports, and tenant renewals
  • Manage incoming checks and financial entries: deposit checks (asset management, leasing commissions, etc.) and enter into QuickBooks
  • Maintain internal budget files and provide quarterly financial summaries to leadership
  • Review and process leasing commissions and property invoices in coordination with the Property Manager
  • Prepare disbursement checks, update payment records, and track internal reporting
  • Coordinate tax-related documentation: download returns and K-1s, process e-file forms, and obtain approvals for tax payments
  • Assist with document drafting and management, including lease renewals, amendments, and assignments
  • Organize and maintain electronic and hard-copy files for leases and legal documents
  • Support tenant lease negotiations and collaborate with legal teams to provide exhibits and maintain exclusivity listings

Qualifications:

  • 5+ years of administrative or office management experience, preferably within real estate or property management
  • Familiarity with commercial real estate operations strongly preferred
  • Proficient in QuickBooks and Microsoft Office Suite
  • Comfortable managing financial records, tracking budgets, and processing invoices
  • Highly organized, self-motivated, and able to work independently in a remote setting
  • Strong written and verbal communication skills
  • Reliable transportation for weekly mail pickup
