Job Description
Title: Administrative Assistant
Responsibilities
- Provide dedicated administrative assistance to a group of Directors and VPs within the investment operations team.
- Maintain and update team systems including CRM and internal databases (e.g., DealCloud).
- Oversee high-volume meeting coordination and real-time calendar adjustments across time zones.
- Coordinate multi-leg travel arrangements and update itineraries in collaboration with the travel team.
- Process and audit expense reports accurately (via Concur).
- Field incoming phone calls and manage communication flow professionally.
- Assist with preparation of materials and logistics for internal and external meetings.
- Support cross-functional initiatives and take on special assignments as needed.
Required Experience & Skills
- 2+ years of experience supporting professionals in financial services or a similarly fast-paced environment.
- Strong organizational skills with proven ability to manage shifting priorities under time pressure.
- Excellent communication abilities, both written and verbal.
- Tech savvy—must be comfortable using Microsoft Outlook, Word, Excel, PowerPoint; experience with Concur and CRM systems (e.g., DealCloud) is a plus.
- Confident handling sensitive information and interacting with senior stakeholders.
