    Commercial real estate firm in lower Manhattan seeks an onsite Property Coordinator to handle front desk duties while managing tenant relations and administrative support with leases, contracts and vendors. ASAP start date.

Onsite Mon-Fri, 8.30am-5pm

Downtown Manhattan office location

Responsibilities –

  • Coordinate tenant communications, events, signage, and recycling program education
  • Support lease compliance, emergency procedures, and tenant manual updates
  • Assist with resolving tenant issues and tracking maintenance responsibilities
  • Conduct property and vendor walk-throughs; follow up on outstanding items
  • Oversee vendor contract compliance, especially for janitorial and security services
  • Manage vendor bids, contracts, purchase orders, and invoice processing
  • Ensure timely collection and approval of tenant and vendor insurance documents
  • Handle tenant access requests and maintain key control systems
  • Monitor work orders, tenant violations, and assist with inspections and punch lists
  • Support budget prep by gathering data, reviewing pricing, and generating tenant billings

Qualifications

  • 2+ years of experience in front desk / administration / property coordinator within real estate
  • Experience with tenants, vendors, project scheduling, and contract processing
  • Understanding of property operations, insurance requirements, and accounting basics
  • Strong customer service and interpersonal skills
  • Excellent written and verbal communication
  • Proficient in Microsoft Word and Excel; familiarity with Yardi is a plus
  • Highly organized, detail-oriented, and able to manage multiple priorities
