Job Description

Title: Receptionist

Key Responsibilities

  • Welcome and direct all visitors, clients, and staff with professionalism
  • Answer incoming calls and direct them to the appropriate team members
  • Maintain a neat and organized front desk and reception area
  • Monitor the main office inbox and direct messages as needed
  • Schedule client appointments and manage meeting room calendars
  • Perform scanning, copying, mailing, and filing duties as needed
  • Monitor office supply levels and place replenishment orders
  • Handle incoming and outgoing mail, packages, and couriers
  • Assist with assembling client packets or tax folders during peak periods
  • Provide general support to partners, managers, and admin staff
  • Help coordinate meetings, events, and firm training sessions
  • Maintain discretion with sensitive or confidential information

Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree a plus
  • 1–2 years of office-based receptionist or administrative experience
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office (Word, Outlook, Excel)
  • Professional demeanor, appearance, and strong attention to detail
  • Ability to manage multiple tasks and maintain a calm, courteous presence
