Job Description

Title: International Programs Specialist

Responsibilities

  • Provide administrative and logistical coordination for international education and exchange programs, including travel, scheduling, document prep, and program communication
  • Organize travel and accommodations for international scholars, faculty, and leadership participating in global events and training exchanges
  • Coordinate with internal teams and external societies on speaker logistics, itineraries, and event materials for both in-person and virtual programming
  • Support application processing, participant selection, and pre- and post-program follow-ups for international scholars and exchange participants
  • Assist with drafting correspondence, managing calendars, reconciling reimbursements, and preparing departmental reports and updates
  • Liaise with various departments to coordinate international activity at the organization’s Annual Meeting, including exhibit support, international partner engagement, and booth logistics
  • Support marketing efforts by helping prepare promotional materials for global educational initiatives and keeping the program calendar updated
  • Collaborate with membership teams to support the onboarding and coordination of international group members tied to global training programs
  • Manage shipping of materials and resources to international event sites and coordinate translations of educational or patient-facing content when needed

Qualifications

  • Associate’s degree required; bachelor’s preferred
  • 3–4 years of administrative experience, preferably in an education, nonprofit, or global travel context
  • Proven ability to coordinate complex domestic and international travel, including handling visa documentation and flight logistics
  • Excellent written and verbal communication skills and cultural sensitivity
  • Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Comfortable managing high volumes of time-sensitive tasks while maintaining accuracy and professionalism
  • Interest in international affairs, education, or global medical training strongly preferred
