Job Description
Title: Executive Assistant
Responsibilities:
- Manage daily calendar for the VP of Communications, including identifying and flagging scheduling conflicts
- Liaise with vendors and internal departments to process invoices and coordinate payment approvals
- Track financial and administrative data using internal systems and Excel trackers
- Draft and send internal and external communications on behalf of the team and VP
- Schedule and manage Zoom meetings, including setup and logistics
- Coordinate catering and meeting room setup/cleanup for in-office events
- Collaborate with the finance team to ensure timely invoice submissions and expense reconciliation
- Support ad hoc team administrative needs as requested
Qualifications:
- 2+ years of experience in an administrative or executive assistant capacity, ideally in a mission-driven or communications-oriented environment
- Strong comfort level with technology and ability to learn new systems quickly
- Excellent organizational and time management skills
- Clear, professional written and verbal communication
- Experience working with invoice processing, vendor coordination, and meeting logistics
- Proficient in Microsoft Office Suite, Zoom, and general office software
