Job Description

Title: Executive Assistant

Responsibilities:

  • Manage daily calendar for the VP of Communications, including identifying and flagging scheduling conflicts
  • Liaise with vendors and internal departments to process invoices and coordinate payment approvals
  • Track financial and administrative data using internal systems and Excel trackers
  • Draft and send internal and external communications on behalf of the team and VP
  • Schedule and manage Zoom meetings, including setup and logistics
  • Coordinate catering and meeting room setup/cleanup for in-office events
  • Collaborate with the finance team to ensure timely invoice submissions and expense reconciliation
  • Support ad hoc team administrative needs as requested

Qualifications:

  • 2+ years of experience in an administrative or executive assistant capacity, ideally in a mission-driven or communications-oriented environment
  • Strong comfort level with technology and ability to learn new systems quickly
  • Excellent organizational and time management skills
  • Clear, professional written and verbal communication
  • Experience working with invoice processing, vendor coordination, and meeting logistics
  • Proficient in Microsoft Office Suite, Zoom, and general office software
