    Multi-billion institutional asset management firm, headquartered in Midtown Manhattan with an additional office in London, seeks to hire an Executive Assistant.

Job Description

This role will join a collaborative 5-person administrative team, providing primary support to the Investment team and serving as backup to the Executive Assistant to the President. The ideal candidate is proactive, adaptable, and possesses a "no task too big or too small" mentality.

Key Responsibilities (including but not limited to):

  • Provide administrative support to the Investment team
  • Serve as backup support to the President’s Executive Assistant
  • Provide occasional support to the Marketing team (e.g., updating marketing materials)
  • Prepare reports, manage databases, and handle regular communications
  • Manage phone coverage and maintain calendars
  • Coordinate complex domestic and international travel and detailed itineraries
  • Handle confidential and proprietary information with the highest level of discretion
  • Contribute to creating operational efficiencies, supporting team cohesion, and improving internal protocols
  • Standard working hours are 8:30 AM – 5:30 PM

Qualifications:

  • Bachelor’s degree required
  • 3–5 years of relevant administrative experience, preferably within financial services
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Highly organized, detail-oriented, and capable of managing multiple tasks simultaneously
  • Adaptable to shifting priorities in a fast-paced environment
  • Positive, proactive, and team-oriented attitude
  • Strong interpersonal and communication skills
  • Familiarity with Bloomberg and Dynamo is a plus, but not required
