Job Description

Job Title: Operations Coordinator – 6 openings

Schedule: 40 hours per work week. Want flexible candidates who can work 40 hours. Some early mornings and late evenings. Occasional weekends.

Interviews: Virtual, 2 rounds

No additional credentialing required beyond background and drug screen

Fully remote role – just needs to be comfortable working on east coast time

The position is temp for the time being. Running at least until October 1st.

Position Summary:

The Operations Coordinator, On-site is responsible for coordinating staff training, providing on-site support, and performing data entry, transcription, and reporting for on-site occupational health service events. This position will coordinate with internal project management, clinical, and operations resources to support the full life cycle of one-time and ongoing on-site programs. The incumbent in this role is effectively a “traffic cop” between all existing resources within Mobile Health and the event staff to ensure programmatic success.

Essential Duties and Responsibilities

·      Serve as primary contact for on-site staff. Confirming arrival and set-up, providing support through the event, troubleshooting and escalating issues when needed

·      Transcribe data in real time and post-event into EHR. The data entered is strictly administrative and does not involve or require any medical judgement.

·      Create and manage various types of event related documents. Including but not limited to; patient check in sheets, specimen labels, and procedure records

·      Coordinate and conduct staff and client training sessions

·      Manage technology platforms used by staff in support of the program, including but not limited to; communication platform(s), time tracking, training and credentialing

·      Communicate event inventory needs and assist with shipping logistics

·      Liaise with third party lab partners on specimen pickup and/or shipping

·      Resolve operational challenges as they arise, escalating when necessary

·      Troubleshoot any IT-related issues in conjunction with IT support

·      Prepare accurate reports and submit to necessary city & state entities/stakeholders,

including but not limited to test results and procedures, incentive programs and attendance

·      Respond to non-clinical related patient and client email inquiries

·      Provide support to internal clinical and coding teams as necessary

Other duties as assigned

Education and Experience 

·      Bachelor’s degree preferred; relevant work experience considered

·      Experience in occupational health and/or primary care a plus

Minimum of one (1) year of experience in project coordination/administrative support role preferred

Knowledge/Skills/Abilities

·      Ability to work with little supervision and can multi-task, often tracking multiple onsite events simultaneously.

·      Ability to work a flexible schedule often outside of normal business hours, including nights and weekends

·      Capacity to take initiative to problem-solve, course-correct, and suggest process improvements

·      No ego approach to work; need to be willing to roll up your sleeves and do whatever it takes to get the job done
