Overview

  • Support executive leadership by managing schedules, travel arrangements, and administrative tasks in a dynamic, growth-oriented environment.
  • Assist in office management, including supplies, events coordination, and ensuring operational efficiency.
  • Contribute to HR processes such as onboarding, paperwork, and recruitment activities.

Key Responsibilities & Duties

  • Coordinate executive schedules, resolve calendar conflicts, and prioritize commitments effectively.
  • Arrange domestic and international travel, including bookings and reservations.
  • Prepare expense reports and assist in financial bookkeeping tasks.
  • Support HR functions such as recruitment, onboarding, and employee documentation.
  • Maintain organized filing systems and database records for operational needs.
  • Oversee office management, ensuring supplies, equipment, and daily operations are optimized.
  • Collaborate on internal process development to enhance administrative efficiency.
  • Provide support for investor relations and client service team expansion initiatives.

Job Requirements

  • Minimum of 4 years of experience in executive assistant, operations, or administrative roles.
  • Preferred experience in the finance industry, particularly investment management or banking.
  • Strong organizational skills with proficiency in QuickBooks and expense management.
  • Ability to manage travel arrangements and executive schedules effectively.
  • Experience in HR processes, including onboarding and recruitment activities.
  • Proven ability to develop and refine internal processes for operational efficiency.
  • Flexibility to work in a hybrid environment with occasional in-office presence.
  • Bachelor's degree or equivalent experience preferred but not mandatory.
