Job Description

Overview

  • Serve as an Executive Assistant supporting senior leadership within a dynamic organization.
  • Provide high-level administrative support to ensure efficient operations and decision-making.
  • Coordinate schedules, meetings, and travel arrangements for executives and partners.
  • Act as a liaison between executives and internal/external stakeholders.
  • Prepare reports, presentations, and correspondence with a high degree of accuracy.
  • Manage confidential information with discretion and professionalism.
  • Contribute to the organization’s success by ensuring seamless administrative processes.
  • Work on-site to foster collaboration and maintain operational efficiency.

Key Responsibilities & Duties

  • Coordinate and manage complex calendars for executives, ensuring optimal time management.
  • Organize and facilitate executive meetings, including agenda preparation and follow-ups.
  • Arrange detailed travel plans, itineraries, and accommodations for senior leadership.
  • Draft, edit, and proofread documents, presentations, and communications.
  • Maintain and update records, files, and databases with accuracy and confidentiality.
  • Support project management tasks and assist in tracking progress and deadlines.
  • Collaborate with internal teams to ensure alignment and effective communication.
  • Handle ad hoc administrative tasks as required to support organizational goals.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background.
  • Minimum of 10 years of experience in executive-level administrative support.
  • Preferred 12 years of experience in a similar role within a professional setting.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Excellent written and verbal communication skills with attention to detail.
  • Demonstrated ability to handle sensitive information with confidentiality.
  • Ability to work on-site and collaborate effectively with team members.
