Job Description

Overview

  • Serve as a proactive Administrator within the Insurance group, managing complex administrative tasks and driving operational efficiency.
  • Coordinate strategic initiatives, track deadlines, and ensure team alignment with business objectives.
  • Leverage AI-enabled tools and emerging technologies to streamline workflows and enhance productivity.
  • Provide executive and team support, including calendar management, travel arrangements, and meeting logistics.
  • Prepare and edit professional presentations, reports, and correspondence adhering to brand standards.
  • Gain exposure to senior leadership decision-making and learn fundamentals of insurance and investment management.
  • Collaborate with internal groups to support recruiting, onboarding, and budget tracking initiatives.
  • Contribute to process improvement and operational efficiency initiatives within the organization.

Key Responsibilities & Duties

  • Coordinate strategic initiatives, track deadlines, and follow up on action items to ensure timely completion.
  • Conduct research and analysis to support decision-making and create impactful presentations.
  • Build and maintain team dashboards and trackers for monitoring priorities and deliverables.
  • Utilize AI-enabled tools to draft communications, summarize documents, and enhance process efficiencies.
  • Assist in managing calendars, scheduling, and travel arrangements for senior leaders.
  • Coordinate logistics for meetings, conferences, and external client events to ensure smooth execution.
  • Prepare and edit materials such as presentations, reports, and correspondence with high accuracy.
  • Support expense reporting and administrative compliance requirements for the team.

Job Requirements

  • Bachelor of Arts (BA) degree with 7–10 years of experience in financial services, insurance, or consulting industries.
  • Proficiency in Microsoft Office Suite; experience with CRM systems and expense management tools preferred.
  • Familiarity with AI-enabled productivity tools and ability to leverage technology for efficiency.
  • Exceptional organizational skills with the ability to manage complex calendars and competing priorities.
  • Strong project management skills, including scoping, planning, tracking, and delivering initiatives.
  • Outstanding written and verbal communication skills for drafting professional correspondence.
  • PMP certification or demonstrable project management experience is a plus.
  • Collaborative team player with the ability to work independently and under pressure.
