Job Description

Overview

  • Support the execution of design and construction initiatives, ensuring projects align with organizational goals and are delivered on time and within budget.
  • Provide administrative and operational support to the Design & Construction team, contributing to project success and efficiency.
  • Collaborate with internal departments and external partners to facilitate project milestones, approvals, and deliverables.
  • Maintain detailed project documentation, schedules, and compliance records using construction management systems.
  • Assist in managing multiple concurrent projects, ensuring deadlines and deliverables are met effectively.
  • Communicate updates and impacts professionally to internal teams and stakeholders, fostering transparency and alignment.
  • Contribute to special projects and initiatives that enhance operational excellence and innovation within the department.
  • Work in a dynamic, fast-paced environment that values collaboration and adaptability.

Key Responsibilities & Duties

  • Manage project documentation, contracts, invoices, purchase orders, and commitment documents for the Design & Construction team.
  • Track and maintain accurate project schedules using construction management systems, ensuring timely updates.
  • Coordinate with internal and external stakeholders to facilitate project milestones and approvals.
  • Prepare detailed records and reports to support budgeting, tracking, and compliance requirements.
  • Assist in the administration of multiple design and construction projects, ensuring deadlines and deliverables are met.
  • Communicate project updates and impacts clearly to stakeholders, ensuring alignment and transparency.
  • Support leadership by escalating key issues, risks, and opportunities as needed.
  • Collaborate across departments to coordinate project activities and scheduling effectively.

Job Requirements

  • Associate of Science degree required, with a focus on construction or related fields preferred.
  • Minimum of 2 years of experience in construction coordination or project management; 4 years preferred.
  • Proficiency in construction management software and office platforms; experience with cost accounting and contract management preferred.
  • Strong organizational and problem-solving skills with a proactive mindset.
  • Excellent communication and interpersonal skills for cross-functional collaboration.
  • Experience in multifamily or real estate development environments strongly preferred.
  • Ability to manage data, processes, and documentation accurately and efficiently.
