Job Description

Overview

  • Provide executive support to the General Counsel and Legal Team in a dynamic entertainment company environment.
  • Manage complex calendars, scheduling meetings, and coordinating appointments for multiple executives.
  • Arrange domestic and international travel, ensuring seamless itineraries and logistics.
  • Process expenses and maintain accurate records for financial reporting and reimbursement.
  • Serve as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Support the team in a fast-paced environment, requiring adaptability and a proactive approach.
  • Ensure availability and responsiveness to urgent matters, demonstrating a 24/7 mentality.
  • Contribute to the efficiency of the legal team by providing administrative and organizational support.

Key Responsibilities & Duties

  • Coordinate and manage executive calendars, ensuring optimal time management and scheduling.
  • Plan and execute travel arrangements, including booking flights, accommodations, and transportation.
  • Prepare and process expense reports, ensuring compliance with company policies.
  • Facilitate communication between executives and stakeholders, maintaining confidentiality and professionalism.
  • Assist in preparing documents, presentations, and correspondence for legal and administrative purposes.
  • Provide support during meetings, including note-taking and follow-up on action items.
  • Maintain organizational systems and databases to support the legal team’s operations.
  • Adapt to changing priorities and demands in a fast-paced environment.

Job Requirements

  • Bachelor of Arts (BA) degree required, preferably in a relevant field.
  • Minimum of 4 years of experience as an Executive Assistant; 5+ years preferred.
  • Proficiency in calendar management, travel coordination, and expense processing.
  • Exceptional organizational skills and attention to detail in a high-pressure environment.
  • Strong communication skills, both written and verbal, with a professional demeanor.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Flexibility to work onsite and adapt to a 24/7 availability requirement.
  • Experience supporting multiple executives simultaneously is highly desirable.
