Job Description

Overview

  • Coordinate monthly billing processes, including court-required fee applications and tracking filing deadlines.
  • Maintain databases and reporting for client management and practice development initiatives.
  • Support business development and marketing efforts for the advisory group.
  • Administer participation agreements for industry conferences and events.
  • Collaborate with marketing and public relations teams to facilitate initiatives.
  • Assist in creating, formatting, and editing proposals, presentations, and pitchbook materials.
  • Prepare information for new project setups and project close-outs.
  • Support client data accumulation and organization efforts.
  • Maintain weekly location planning calendars and facilitate communications within the group.

Key Responsibilities & Duties

  • Coordinate billing processes and reporting requirements, ensuring compliance with court deadlines.
  • Maintain and update databases to support client and practice development.
  • Assist in business development and marketing efforts, including event participation agreements.
  • Collaborate with marketing teams to execute New York-based initiatives.
  • Create and edit proposals, presentations, and pitchbooks using MS Office tools.
  • Prepare and organize data for new project setups and close-outs.
  • Support ongoing organization and accumulation of client data.
  • Facilitate group communications and maintain weekly planning calendars.
  • Perform additional duties as assigned to support group operations.

Job Requirements

  • Bachelor’s degree in a relevant field required; associate degree considered.
  • Minimum of 4 years’ experience in a professional services firm; 6 years preferred.
  • Proficiency in MS Office tools, including PowerPoint, Word, and Excel.
  • Strong written and verbal communication skills in English.
  • Excellent time management and organizational abilities.
  • Effective communication, leadership, and problem-solving skills.
  • Ability to work in a hybrid work environment with occasional in-office presence.
  • Experience with client data management and project coordination.
  • Familiarity with professional services operations and industry standards.
