Overview

  • Provide executive and personal assistance to two managing partners at a boutique hedge fund.
  • Manage complex calendars, travel arrangements, and correspondence for senior executives.
  • Oversee office operations, including vendor coordination and building management liaison.
  • Handle personal tasks such as reservations, errands, and household coordination.
  • Maintain confidentiality and professionalism in all interactions and tasks.
  • Work in a fast-paced environment, adapting to changing priorities effectively.
  • Support organizational efficiency through meticulous file and database management.
  • Contribute to the firm’s growth by ensuring seamless administrative operations.

Key Responsibilities & Duties

  • Coordinate and manage complex schedules and travel arrangements for two managing partners.
  • Prepare meeting materials, presentations, and professional correspondence.
  • Act as a gatekeeper, prioritizing communications and ensuring timely responses.
  • Oversee office operations, including vendor relationships and supply management.
  • Liaise with building management for maintenance, security, and compliance needs.
  • Handle select personal tasks for managing partners, maintaining discretion and confidentiality.
  • Organize and maintain files, records, and databases to ensure operational efficiency.
  • Assist with expense reporting and light bookkeeping tasks as needed.

Job Requirements

  • Minimum 15 years of experience as an Executive Assistant supporting senior executives.
  • Preferred experience in financial services or similar high-pressure environments.
  • Exceptional organizational and time-management skills to handle multiple priorities.
  • Proficiency in Microsoft Office Suite and scheduling tools.
  • Strong written and verbal communication skills for professional interactions.
  • Bachelor’s degree preferred but not required for qualified candidates.
  • Ability to work independently and anticipate needs proactively.
