Job Description

Overview

  • Provide high-level administrative support to executives in a fast-paced operational setting, ensuring seamless coordination and communication.
  • Manage complex calendars, prioritize appointments, and optimize scheduling to enhance executive efficiency.
  • Prepare detailed reports, presentations, and correspondence to assist in strategic decision-making processes.
  • Coordinate travel arrangements, including accommodations and itineraries, ensuring smooth logistics for executives.
  • Act as a liaison between executives and internal/external stakeholders, maintaining professional communication standards.
  • Handle confidential information with utmost discretion, adhering to organizational policies and standards.
  • Support HR initiatives, including onboarding processes and employee engagement activities.
  • Contribute to the efficient operation of administrative functions within the office environment.

Key Responsibilities & Duties

  • Manage executive calendars, resolve scheduling conflicts, and ensure timely prioritization of appointments.
  • Prepare and distribute meeting materials, including agendas, presentations, and detailed documentation.
  • Assist in planning and executing company events, ensuring alignment with organizational objectives.
  • Maintain accurate records and documentation for compliance and future reference.
  • Monitor office supplies and equipment, ensuring operational efficiency and readiness.

Job Requirements

  • Bachelor of Arts (BA) degree in business administration or a related field.
  • Minimum of 5 years of experience in administrative support roles; 7 years preferred.
  • Proficiency in calendar management and scheduling within a corporate environment.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Experience in financial services or a similar industry is highly desirable.
