Overview

  • Serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment.
  • Manage daily front desk operations, including scheduling, correspondence, and visitor registration.
  • Support administrative tasks and maintain organized records for efficient office operations.
  • Coordinate with internal teams to facilitate seamless communication and workflow.
  • Ensure the reception area is clean, organized, and stocked with necessary supplies.
  • Handle incoming calls and inquiries professionally, directing them to appropriate departments.
  • Assist in planning and executing office events and meetings as needed.
  • Provide excellent customer service to clients, employees, and visitors.

Key Responsibilities & Duties

  • Greet and assist visitors, ensuring a positive and professional experience.
  • Answer and route incoming calls promptly and accurately.
  • Maintain and update visitor logs and schedules for office meetings.
  • Coordinate with office staff to support administrative needs and special projects.
  • Monitor and replenish office supplies to maintain operational efficiency.
  • Assist in preparing documents and correspondence for internal and external communication.
  • Ensure compliance with company policies and procedures at the reception area.
  • Support onboarding activities for new employees and visitors.

Job Requirements

  • Bachelor of Arts (BA) degree required, with a focus on communication or related field preferred.
  • Minimum of 2 years of experience in a receptionist or administrative role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Professional demeanor and appearance, with a customer-focused attitude.
  • Flexibility to work onsite with an 8am – 5pm schedule.
