Overview
- Provide comprehensive administrative support to the tax department, ensuring efficient operations and timely task completion.
- Handle confidential client information with discretion, maintaining high standards of security and professionalism.
- Prepare, organize, and manage client tax documents, including printing, binding, and courier services.
- Collaborate with managers and principals to facilitate seamless communication and document management.
- Support various tax departments with invoice approvals and administrative tasks.
- Utilize advanced Microsoft Office Suite skills to create and edit professional documents and reports.
- Ensure adherence to deadlines and prioritize multiple tasks effectively in a fast-paced environment.
- Assist in improving processes and workflows within the administrative scope.
Key Responsibilities & Duties
- Prepare and organize tax client documents and statements for efficient processing.
- Manage outgoing mail and packages using USPS, FedEx, and other courier services.
- Create engagement letters, correspondence, and reports from drafts provided by management.
- Coordinate with managers regarding client documents and ensure timely delivery.
- Handle invoice approvals and provide administrative support across tax departments.
- Ensure the secure return of client original tax documents via courier services.
- Maintain and manage highly confidential client information with utmost discretion.
- Assist in organizing and binding physical copies of client tax returns.
Job Requirements
- High School Diploma, GED, or equivalent required; Bachelor’s degree preferred.
- Minimum of three years of administrative experience; professional services firm experience preferred.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience with PeopleSoft Financials is highly desirable.
- Strong organizational skills and attention to detail for efficient multitasking.
- Excellent written and oral communication skills, including grammar, spelling, and punctuation.
- Ability to work under deadlines and manage multiple projects effectively.
- Capable of handling highly confidential information with discretion and professionalism.
