Job Description

Overview

  • Provide administrative support to the Tax Department, ensuring efficient operations and compliance with deadlines.
  • Handle confidential client documents, organize tax returns, and manage correspondence.
  • Perform administrative duties, including creating engagement letters, reports, and client communications.
  • Coordinate mail and courier services for client document delivery and retrieval.
  • Provide support for invoice approvals and other administrative tasks within the department.
  • Ensure compliance with organizational standards and maintain high levels of confidentiality.
  • Collaborate with managers and principals to address client needs effectively.

Key Responsibilities & Duties

  • Prepare and organize tax client documents and statements for processing.
  • Manage outgoing mail and packages, arranging courier services as needed.
  • Create and edit engagement letters, correspondence, and reports from drafts.
  • Liaise with managers regarding client documents and reports.
  • Handle physical printing, organizing, and binding of client tax returns.
  • Ensure the return of original client tax documents via courier services.
  • Assist with invoice approvals and administrative tasks within the department.
  • Maintain high standards of confidentiality and organizational efficiency.

Job Requirements

  • High School Diploma or GED equivalent required; Bachelor’s degree preferred.
  • Minimum of three years of administrative experience; professional services firm experience preferred.
  • Advanced proficiency in Microsoft Office Suite; PeopleSoft Financials experience preferred.
  • Strong organizational skills and attention to detail for effective multitasking.
  • Excellent written and oral communication skills, including superior grammar and punctuation.
  • Ability to manage highly confidential information with discretion.
  • Team-oriented mindset with a willingness to assist as needed.
  • Capability to work in a deadline-driven environment and handle multiple tasks efficiently.
