Job Description

Overview

  • Provide executive-level administrative support to senior leadership.
  • Coordinate schedules, meetings, and travel arrangements for executives and team members.
  • Manage expense reporting, reimbursements, and financial documentation with precision.
  • Ensure timely communication and follow-ups on critical emails and tasks.
  • Organize and maintain project-related documentation and databases for team accessibility.
  • Support team outings, networking events, and client engagements with logistical planning.
  • Contribute to the preparation of presentations, reports, and meeting materials.
  • Facilitate coordination of safety committee meetings and related initiatives.

Key Responsibilities & Duties

  • Monitor and organize executive emails, ensuring timely responses and follow-ups.
  • Prepare and submit monthly expense reports and reimbursements accurately.
  • Coordinate and schedule meetings, tracking deliverables and deadlines proactively.
  • Manage project-related documentation, including invoices and performance evaluations.
  • Facilitate logistics for team outings, networking events, and client engagements.
  • Support safety committee initiatives, including meeting coordination and documentation.
  • Prepare and maintain decks and reports for monthly and quarterly presentations.
  • Assist in staffing processes, including requisition creation and interview scheduling.

Job Requirements

  • Bachelor of Arts (BA) degree preferred but not mandatory.
  • 5-7 years of experience in fast-paced corporate environments.
  • Proficiency in administrative tools such as Concur, Docusign, and Microsoft Office Suite.
  • Highly organized and proactive with excellent time management skills.
  • Strong communication skills to liaise effectively with executives and team members.
  • Ability to anticipate needs and work independently with limited direction.
  • Experience in architecture, engineering, real estate, finance, or professional services preferred.
