Job Description

Overview

  • Serve as a vital support role, ensuring smooth administrative operations and excellent customer service for the client’s on-site location.
  • Perform data entry and updates in operational systems, maintaining accurate records and logs.
  • Provide front-desk coverage, greeting visitors, answering calls, and scheduling meetings for the management team.
  • Assist with building maintenance coordination, supporting work orders and extermination procedures per established protocols.
  • Support resident move-in processes, including scheduling and updating tracking sheets.
  • Maintain an organized office environment by ensuring supplies are stocked and shared spaces remain professional.
  • Collaborate on team projects, providing administrative assistance and documentation support as needed.
  • Facilitate communication flow by dispatching management support and transferring calls appropriately.
  • Coordinate event supplies, tracking and organizing materials for onsite activities.

Key Responsibilities & Duties

  • Perform timely data entry and updates in Yardi, REX, and other tracking systems.
  • Provide front-desk coverage, greeting residents, clients, and visitors professionally.
  • Respond to resident and customer inquiries via phone, email, and in person, ensuring satisfaction.
  • Assist the Resident Manager with work orders and maintenance coordination.
  • Support move-in processes by scheduling and updating tracking sheets.
  • Maintain office organization, ensuring supplies are stocked and spaces are clean.
  • Record daily operational updates in Yardi memos and shift logs.
  • Assist in team operations and special assignments as required.
  • Coordinate materials for onsite events and activities.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum of 1 year of administrative experience; 2 years preferred.
  • Proficiency in Yardi software is a plus but not mandatory.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritize effectively.
  • Experience in customer service and front-desk operations.
  • Familiarity with office equipment and software tools.
  • Flexibility to work onsite during specified hours.
