Job Description

Overview

  • Provide administrative support to the Operations Manager, ensuring smooth office operations and efficient task completion.
  • Handle mailings, including preparation, certification, and tracking for various clients and legal matters.
  • Assist with service preparation tasks, including stamped copies and possession dating work.
  • Perform miscellaneous tasks such as court retrievals, billing spreadsheets, and furniture movement.
  • Support data entry and subpoena preparation, including contacting witnesses and confirming appearances.
  • Prepare server packages, match mailing receipts with affidavits, and scan documents into jobs.
  • Maintain office equipment, ensuring copiers are functional and stocked with paper.
  • Deliver mail to the Post Office and sign corresponding affidavits as needed.
  • Adapt to changing circumstances and contribute to team success through proactive problem-solving.

Key Responsibilities & Duties

  • Coordinate mailings, ensuring compliance with system indications and tracking requirements.
  • Assist the Director of Process Service with service preparation tasks.
  • Perform various office tasks, including document scanning, package delivery, and equipment maintenance.
  • Support data entry supervisor in preparing subpoenas and coordinating depositions.
  • Prepare legal mailings for landlord-tenant and vehicle-related matters.
  • Deliver mail to the Post Office, ensuring proper documentation and affidavits are completed.
  • Provide excellent customer service and maintain professional relationships with colleagues and clients.
  • Contribute to team success by adhering to core values and demonstrating adaptability.
  • Perform additional duties as assigned to support office operations.

Job Requirements

  • High school diploma or equivalent required; Associate Degree preferred.
  • Minimum of 2 years of administrative experience preferred.
  • Proficiency in organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Ability to adapt to changing circumstances and work proactively.
  • Competency in handling mailings, service preparation, and data entry tasks.
