Job Description

Overview

  • Coordinate program activities and ensure compliance with organizational standards and grant requirements.
  • Support intake processes by conducting interviews and gathering essential client information.
  • Maintain and update case management systems to ensure accurate data tracking.
  • Collaborate with administrative staff to manage referrals and intake coordination.
  • Monitor shared communication channels and intake queues for timely responses.
  • Provide clear guidance to clients regarding next steps and required documentation.
  • Ensure confidentiality and data security standards are upheld at all times.
  • Contribute to advocacy efforts for low-income immigrants through effective program coordination.

Key Responsibilities & Duties

  • Collect and maintain data for grants management and accountability purposes.
  • Conduct initial interviews with prospective clients and referring entities.
  • Apply eligibility criteria to determine case referrals for further review.
  • Enter and maintain accurate intake information in the case management system.
  • Track incoming requests, deadlines, and follow-up needs for timely processing.
  • Flag urgent or high-priority matters for supervisory review.
  • Maintain confidentiality and adhere to data security standards.
  • Perform other administrative duties as assigned to support program operations.

Job Requirements

  • Bachelor’s degree or equivalent combination of 4+ years of education and work experience.
  • Proficiency in Office 365 and Microsoft Office programs.
  • Previous administrative experience in a fast-paced environment.
  • Knowledge of basic immigration application forms and relief processes preferred.
  • Strong organizational skills and ability to manage relationships effectively.
  • Commitment to advocacy for low-income immigrants highly desired.
  • Proficiency in Spanish is preferred but not required.
  • Demonstrated ability to handle sensitive or confidential information with excellent judgment.
