- Support executives with scheduling, email management, and client correspondence.
- Coordinate onboarding processes for new hires, including equipment setup and orientation.
- Utilize QuickBooks and Excel for financial and administrative tasks.
- Maintain a well-organized office environment to enhance productivity and efficiency.
- Collaborate with HR for employee-related processes and reporting.
- Contribute to a professional and welcoming atmosphere for staff and clients.
Key Responsibilities & Duties
- Manage office supplies, equipment, and kitchenette to ensure operational readiness.
- Coordinate schedules and appointments for three executives, ensuring efficient time management.
- Handle client correspondence and email communications with professionalism and accuracy.
- Assist in onboarding new hires, including equipment setup and orientation processes.
- Perform administrative and secretarial tasks, ensuring compliance with organizational standards.
- Utilize QuickBooks for financial tracking and reporting tasks.
- Prepare and maintain Excel spreadsheets for various administrative purposes.
- Collaborate with HR and other departments to support organizational goals.
Job Requirements
- Bachelor of Science in Business Administration or equivalent educational background.
- Minimum of 4 years of office support experience, preferably in an accounting firm.
- Proficiency in QuickBooks and Excel for administrative and financial tasks.
- Strong organizational skills and attention to detail for managing office operations.
- Excellent computer skills and ability to learn new software quickly.
- Fluency in English for effective communication with clients and staff.
- Ability to work on-site during standard business hours (9:00 AM – 5:30 PM).
- Experience in executive assistance and administrative support is highly desirable.
