Job Description

Overview

  • Provide comprehensive administrative support to the CEO, ensuring seamless operations and effective communication across all organizational levels.
  • Manage dynamic schedules, prioritize tasks, and anticipate needs to maintain efficiency and productivity.
  • Represent the CEO in communications with internal and external stakeholders, fostering strong relationships and ensuring confidentiality.
  • Coordinate special projects, events, and research initiatives, delivering high-quality results under tight deadlines.
  • Ensure the CEO is prepared for meetings and presentations by compiling relevant materials and information.
  • Maintain administrative procedures and workflows, including expense monitoring and approval processes.
  • Work on-site with flexibility for extended hours as required to meet organizational demands.
  • Collaborate with diverse teams and constituents, ensuring effective communication and alignment with organizational goals.

Key Responsibilities & Duties

  • Schedule and manage a complex calendar, addressing time-sensitive and confidential requests effectively.
  • Act as a liaison between the CEO's office and internal departments, as well as external stakeholders.
  • Handle inquiries and requests, determining appropriate actions and delegations.
  • Prepare and organize materials for meetings, presentations, and events to ensure readiness.
  • Conduct research and data analysis to support strategic initiatives and decision-making.
  • Manage administrative workflows and communications, maintaining accuracy and confidentiality.
  • Monitor and approve departmental expenses, ensuring adherence to budgetary guidelines.
  • Support the CEO in achieving organizational goals through proactive planning and execution.

Job Requirements

  • Bachelor's degree required, preferably in a related field.
  • 1-3 years of experience in administrative roles or equivalent internships.
  • Proficiency in Google Suite applications and Apple devices (MAC, iPhone, iPad).
  • Strong organizational and problem-solving skills with attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication skills to interact effectively with diverse audiences.
  • Flexibility to work extended hours and adapt to changing demands.
  • COVID-19 vaccination or booster within the last two years is required.
