Job Description

Overview

  • Provide essential administrative support in a dynamic office environment during the busy season.
  • Assist with mail distribution, phone answering, and document scanning and organization.
  • Support daily office operations and ensure smooth workflow processes.
  • Work on-site in a professional setting with free parking available.
  • Engage with guests and clients at reception, providing a welcoming experience.

Key Responsibilities & Duties

  • Manage incoming and outgoing mail, ensuring timely distribution to appropriate recipients.
  • Answer phone calls professionally and direct them to the correct departments or individuals.
  • Scan and organize confidential client documents, maintaining accuracy and discretion.
  • Assist with day-to-day office tasks such as filing, data entry, and scheduling.
  • Greet guests and clients at reception, providing excellent customer service.
  • Collaborate with team members to ensure efficient office operations during peak periods.
  • Support staff members on medical leave by taking on additional responsibilities as needed.
  • Maintain a clean and organized reception area and office environment.

Job Requirements

  • Bachelor of Arts (BA) degree preferred but not required.
  • Minimum of 2 years of administrative experience; 3 years preferred.
  • Proficiency in handling confidential documents with discretion and attention to detail.
  • Strong organizational skills and ability to multitask effectively.
  • Excellent communication skills, both verbal and written.
  • Comfortable working on-site and engaging with clients and guests.
  • Ability to start promptly and adapt to a dynamic work environment.
