Job Description

Overview

  • Manage and build relationships with law firm clients, ensuring exceptional customer service and satisfaction.
  • Provide oversight for a portfolio of client accounts, delivering regular updates and proactive communication.
  • Handle client inquiries and resolve issues promptly to achieve first-contact resolution.
  • Ensure compliance with HIPAA regulations and legal requirements in handling medical records.
  • Collaborate with legal and medical offices to address client needs and manage orders effectively.
  • Participate in training sessions to develop expertise and operate independently without micromanagement.
  • Support a fast-paced, goal-oriented work environment with a strong commitment to excellence.

Key Responsibilities & Duties

  • Provide bi-weekly status updates on client cases and proactively address arising questions.
  • Verify identification for medical record requests and ensure confidentiality and compliance.
  • Respond to client inquiries via phone or email, providing accurate information and solutions.
  • Troubleshoot client issues, identify root causes, and implement effective resolutions.
  • Manage targeted client orders directly and ensure timely delivery of services.
  • Document client interactions and report findings to management as necessary.
  • Collaborate with team members to resolve challenges and improve departmental operations.
  • Maintain exceptional organizational and project management skills to meet deadlines.

Job Requirements

  • Associate of Arts (AA) degree or equivalent required; Bachelor’s Degree preferred.
  • Minimum 3 years of customer service experience; legal background is a plus.
  • Proficiency in general computer skills, including Outlook, Word, and Adobe Acrobat.
  • Strong organizational, communication, and problem-solving abilities.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Exceptional attention to detail and commitment to maintaining confidentiality.
  • Flexible and motivated team player with a solution-oriented attitude.
  • Familiarity with subpoenas, depositions, and affidavits is advantageous.
