Overview
- Provide administrative support to the tax department in a professional services firm.
- Assist with document preparation, updates, and e-filing processes.
- Manage client data and workflows using ERP systems and other software tools.
- Handle correspondence, scheduling, and front desk duties as needed.
- Support conference room setups and ensure meeting readiness.
- Create shipping labels and manage outgoing packages efficiently.
- Provide superior customer service and maintain confidentiality.
- Collaborate with team members to improve processes and workflows.
Key Responsibilities & Duties
- Prepare, finalize, and upload SOWs and related documents in ERP systems.
- Update workflows and confirm document completion in UserVerse.
- Manage client setup and payment information verification.
- Provide front desk coverage and handle incoming calls professionally.
- Create labels for outgoing packages and ensure timely dispatch.
- Assist with conference room scheduling and preparation for meetings.
- Support correspondence and expense management tasks.
- Utilize CRM and other tools for client and workflow management.
Job Requirements
- High School Diploma or GED required; Bachelor’s degree preferred.
- Minimum of four years of administrative experience; professional services firm experience preferred.
- Advanced proficiency in Microsoft Office Suite; experience with ERP systems preferred.
- Bilingual Spanish preferred but not required.
- Strong organizational skills and ability to manage multiple tasks efficiently.
- Excellent written and verbal communication skills with attention to detail.
- Ability to work independently and in a deadline-driven environment.
