Job Description

Overview

  • Provide administrative support to the tax department in a professional services firm.
  • Assist with document preparation, updates, and e-filing processes.
  • Manage client data and workflows using ERP systems and other software tools.
  • Handle correspondence, scheduling, and front desk duties as needed.
  • Support conference room setups and ensure meeting readiness.
  • Create shipping labels and manage outgoing packages efficiently.
  • Provide superior customer service and maintain confidentiality.
  • Collaborate with team members to improve processes and workflows.

Key Responsibilities & Duties

  • Prepare, finalize, and upload SOWs and related documents in ERP systems.
  • Update workflows and confirm document completion in UserVerse.
  • Manage client setup and payment information verification.
  • Provide front desk coverage and handle incoming calls professionally.
  • Create labels for outgoing packages and ensure timely dispatch.
  • Assist with conference room scheduling and preparation for meetings.
  • Support correspondence and expense management tasks.
  • Utilize CRM and other tools for client and workflow management.

Job Requirements

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • Minimum of four years of administrative experience; professional services firm experience preferred.
  • Advanced proficiency in Microsoft Office Suite; experience with ERP systems preferred.
  • Bilingual Spanish preferred but not required.
  • Strong organizational skills and ability to manage multiple tasks efficiently.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to work independently and in a deadline-driven environment.
  • Capable of handling confidential information with discretion.
