Job Description

Overview

  • Support senior executives in a dynamic private equity environment, ensuring seamless operations and communication.
  • Coordinate schedules, meetings, and travel arrangements with precision and confidentiality.
  • Contribute to the efficiency of the executive team by managing administrative tasks effectively.
  • Work in a fast-paced financial services setting, requiring adaptability and proactive problem-solving.
  • Provide high-level support in a professional and polished manner.
  • Collaborate with other executive assistants to maintain consistency and excellence in service.
  • Ensure compliance with company policies and procedures in all administrative activities.
  • Maintain confidentiality and discretion in handling sensitive information.

Key Responsibilities & Duties

  • Manage executive calendars, scheduling meetings, and resolving conflicts proactively.
  • Coordinate domestic and international travel arrangements, including itineraries and accommodations.
  • Prepare and edit correspondence, presentations, and reports for executive review.
  • Handle incoming communications, prioritizing and responding on behalf of executives when necessary.
  • Organize and facilitate executive meetings, ensuring all logistics are addressed.
  • Maintain and update records, files, and databases for executive reference.
  • Collaborate with internal teams to support executive initiatives and projects.
  • Provide backup support to other executive assistants as needed.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background required.
  • Minimum of 10 years of experience in executive assistant roles, preferably in financial services.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication skills, both written and verbal, with attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Experience in coordinating travel arrangements and managing executive schedules.
  • Flexibility to work onsite five days a week with paid overtime opportunities.
