Overview
- Support attorneys in a hybrid work environment, ensuring efficient legal administrative operations and contributing to a collaborative team.
- Assist in managing legal documents, filings, and client files with accuracy and timeliness.
- Collaborate with attorneys and administrative staff to maintain seamless office functionality.
- Provide training and transition support during staff changes, ensuring continuity in operations.
- Engage in electronic and physical file management, supporting attorneys on-site and remotely.
- Contribute to office supply management and administrative coordination tasks.
- Participate in time entry processes and invoice management for client matters.
- Utilize legal terminology and procedures to support litigation-focused attorneys effectively.
Key Responsibilities & Duties
- Support two attorneys daily and three additional attorneys as needed, ensuring efficient workflow.
- File court documents using New Jersey electronic filing systems accurately and promptly.
- Review, revise, format, and redact legal documents with precision and timeliness.
- Establish and maintain client files in electronic and physical formats, managing offsite storage as required.
- Enter attorney time into electronic systems daily, ensuring accurate record-keeping.
- Respond promptly to emails and phone calls, providing professional and efficient communication.
- Send invoices to Accounting coded with appropriate client matter numbers.
- Order and maintain office supplies, ensuring availability for daily operations.
- Occasionally cover remotely for other administrative assistants in different locations.
Job Requirements
- Bachelor of Arts (BA) degree required, with strong academic background preferred.
- Minimum of 3 years of experience as a legal administrative assistant; 5 years preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, etc.) and familiarity with Kofax PDF.
- Knowledge of legal terminology, procedures, and electronic document management systems.
- Organized, efficient, and accurate work style with ability to prioritize tasks effectively.
- Experience in time entry processes and invoice management for legal matters.
- Ability to take initiative, ownership of assignments, and meet deadlines consistently.
- Strong communication skills for responding to inquiries and coordinating with attorneys.
- Hybrid work arrangement requiring on-site presence four days a week.
