Job Description

Overview

  • Serve as a temporary Executive Assistant supporting high-level executives in a fast-paced environment.
  • Coordinate complex calendars and travel arrangements for executives and stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Draft, proofread, and finalize correspondence and documents accurately.
  • Organize meetings, events, and logistics ensuring seamless execution.
  • Prepare detailed itineraries, agendas, and expense reports promptly.
  • Collaborate with internal and external stakeholders to maintain operational efficiency.
  • Support a dynamic sales team with high-volume tasks and priorities.

Key Responsibilities & Duties

  • Manage executives' calendars, scheduling meetings, and resolving conflicts proactively.
  • Coordinate domestic and international travel arrangements with detailed planning.
  • Compose and edit professional correspondence and presentations.
  • Develop and maintain organizational systems to enhance team productivity.
  • Prioritize and manage incoming communications, responding appropriately.
  • Organize and facilitate executive meetings and events effectively.
  • Prepare accurate expense reports and adhere to company policies.
  • Collaborate with C-suite members and external partners professionally.

Job Requirements

  • Bachelor's degree in Arts or related field required.
  • Minimum of 8 years of experience as an Executive Assistant; 10 years preferred.
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills with attention to detail.
  • Experience in financial industry or similar fast-paced environments preferred.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to handle confidential information with integrity and discretion.
  • Strong research skills and ability to utilize online resources effectively.
