Job Description

Overview

  • Serve as a Program Coordinator in a contract role supporting administrative and client-facing operations.
  • Engage with clients and referring entities to gather essential case information and ensure eligibility criteria are met.
  • Coordinate referrals and intake processes, maintaining accurate records and tracking deadlines.
  • Support data collection and maintenance for grants management and accountability purposes.
  • Collaborate with administrative staff to ensure timely updates of case matters.
  • Maintain confidentiality and adhere to data security standards at all times.
  • Utilize excellent organizational and computer skills to manage case management systems effectively.
  • Work in a fast-paced environment, demonstrating commitment to advocacy for low-income immigrants.

Key Responsibilities & Duties

  • Conduct initial interviews with prospective clients and referring entities via phone, email, and in-person interactions.
  • Gather essential demographic, procedural, and case-related information with accuracy and sensitivity.
  • Apply established eligibility criteria to determine case referrals for further review.
  • Provide clear information about next steps, required documents, and timelines to clients.
  • Enter and maintain intake information in the organization’s case management system.
  • Track incoming requests, deadlines, and follow-up needs to ensure timely processing.
  • Flag urgent or high-priority matters for supervisory review.
  • Collaborate with administrative staff to ensure accountability and maintenance of practice standards.
  • Perform other duties as assigned to support organizational goals.

Job Requirements

  • Bachelor’s degree or equivalent combination of 4+ years of post-secondary education and/or work experience.
  • Proficiency in Spanish preferred to effectively communicate with clients.
  • Excellent computer skills, including Office 365 and all Microsoft Office programs.
  • Previous administrative experience in a fast-paced environment.
  • Knowledge of basic immigration application forms and forms of relief is highly preferred.
  • Strong organizational skills and ability to manage relationships effectively.
  • Commitment to advocacy on behalf of low-income immigrants.
  • Demonstrated ability to accurately gather data and compile information.
  • Ability to handle sensitive or confidential information with excellent judgment.
