- Provide executive-level support to senior leadership in a dynamic, remote environment.
- Coordinate complex schedules, travel arrangements, and high-priority meetings across multiple time zones.
- Manage confidential information and ensure seamless communication with internal and external stakeholders.
- Support legal, finance, and compliance departments within a biotech/pharma setting.
- Utilize advanced Microsoft Office skills to prepare reports, presentations, and documentation.
- Collaborate with the EA team to ensure continuity and coverage during absences.
- Adapt working hours to accommodate global time zones and diverse stakeholder needs.
- Contribute to the organization’s mission by supporting leadership in delivering impactful results.
Key Responsibilities & Duties
- Provide executive assistance to VP, SVP, and C-suite executives, ensuring efficient operations.
- Manage complex calendars, scheduling meetings, and coordinating logistics for domestic and international travel.
- Organize leadership meetings, conferences, and high-priority sessions using virtual collaboration tools.
- Liaise with internal teams, external partners, and stakeholders to facilitate seamless communication.
- Process invoices, reconcile expenses, and maintain accurate financial records.
- Ensure compliance with organizational policies and health and safety guidelines.
- Provide coverage for other executive assistants during absences, ensuring continuity.
- Support corporate events, ad-hoc meetings, and interviews as required.
Job Requirements
- Bachelor’s degree in arts, science, or healthcare-related fields preferred.
- Minimum 7 years of experience as an executive assistant; 9 years preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Experience in biotech/pharma industry and supporting legal and finance departments.
- Strong organizational, time management, and multitasking skills.
- Ability to handle confidential information and prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Flexibility to adapt working hours for global time zones.
