Overview

  • Provide high-level administrative support to executives in a dynamic, fast-paced professional environment, ensuring seamless operations and effective coordination.
  • Manage complex calendars, schedule meetings, and resolve conflicts with precision and efficiency to optimize executive time.
  • Coordinate domestic and international travel arrangements, including transportation, accommodations, and detailed itineraries.
  • Process expense reports accurately and efficiently using advanced software tools, ensuring compliance with company policies.
  • Build and maintain strong relationships with internal teams, external partners, and vendors to facilitate smooth communication and collaboration.
  • Handle sensitive information with discretion, maintaining confidentiality and professionalism at all times.
  • Contribute to special projects and ad hoc tasks, showcasing adaptability, initiative, and problem-solving skills.
  • Utilize advanced proficiency in Microsoft Office Suite to enhance operational efficiency and support executive functions.

Key Responsibilities & Duties

  • Ensure workspace planning and reception coverage during team member absences, maintaining operational continuity.
  • Maintain confidentiality and professionalism when handling sensitive information, safeguarding organizational integrity.
  • Support special projects and contribute to organizational initiatives, demonstrating adaptability and proactive engagement.

Job Requirements

  • Bachelor’s degree preferred, ideally in business administration or a related field.
  • Minimum of 5 years of administrative experience in corporate or professional settings.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience with expense management systems like Concur is highly desirable.
  • Strong organizational, time-management, and problem-solving skills to handle multiple tasks effectively.
