Job Description

Overview

  • The Billing Specialist will manage invoicing processes, ensuring accuracy and compliance with company policies and client agreements.
  • Collaborate with internal teams and external clients to resolve billing issues effectively and promptly.
  • Maintain organized billing records and documentation to support financial audits and reporting.
  • Support the finance team in month-end and year-end close processes, ensuring timely completion.
  • Contribute to the improvement of billing systems and processes for enhanced efficiency.
  • Process payroll for union employees prior to billing, ensuring compliance with regulations.
  • Work onsite in a collaborative environment, engaging with team members and stakeholders.

Key Responsibilities & Duties

  • Prepare and issue accurate invoices based on contracts, services rendered, or project milestones.
  • Review billing data for accuracy and completeness prior to invoicing.
  • Resolve billing discrepancies and respond to client billing inquiries promptly.
  • Maintain billing records and documentation in compliance with company policies.
  • Collaborate with the Controller to support month-end and year-end close processes.
  • Identify and implement improvements to billing processes and systems.
  • Process payroll for union employees prior to billing, ensuring accuracy and compliance.

Job Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • 3–5 years of experience in billing, accounts receivable, or similar finance roles.
  • Proficiency in accounting or billing software such as QuickBooks, NetSuite, or SAP.
  • Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
  • Strong understanding of billing procedures and financial documentation.
  • Excellent attention to detail and strong analytical skills.
  • Ability to manage multiple priorities and meet deadlines effectively.
  • Strong communication and problem-solving abilities to address billing issues.
