Job Description

Overview

  • Support financial operations in a dynamic architecture and engineering firm, ensuring accuracy and efficiency in accounting processes.
  • Perform general accounting duties, including billing, invoicing, and managing accounts payable and receivable.
  • Collaborate with project managers and staff to finalize timesheets and conduct billing reviews.
  • Reconcile transactional and resource management data for accurate reporting and billing.
  • Assist in resolving discrepancies in financial records and reports to ensure compliance.
  • Contribute to project contract management, including amendments and change orders.
  • Identify opportunities for process improvements and implement efficient workflows.
  • Perform ad-hoc financial analysis and reporting to support decision-making.
  • Ensure adherence to Generally Accepted Accounting Principles (GAAP) in all operations.

Key Responsibilities & Duties

  • Ensure timely and accurate billing of clients and manage accounts receivable effectively.
  • Lead collection efforts for past-due accounts through communication and coordination with clients.
  • Collaborate with project managers to conduct monthly billing reviews and finalize timesheets.
  • Reconcile financial data to facilitate accurate billing and reporting processes.
  • Assist in resolving discrepancies in financial records and reports promptly.
  • Manage project-related contract amendments and change orders effectively.
  • Support project close-out procedures, ensuring financial obligations are met.
  • Perform ad-hoc financial analysis and reporting to support organizational goals.
  • Continuously identify and implement process improvements for enhanced efficiency.

Job Requirements

  • Bachelor’s degree in Accounting, Finance, or a related field is required.
  • 6-10 years of experience in billing coordination or staff accounting roles.
  • Proficiency in executing billing functions in professional services firms.
  • Strong understanding of GAAP and end-to-end billing workflows.
  • Advanced Microsoft Excel skills and proficiency in the Office Suite.
  • Excellent analytical, problem-solving, and time management abilities.
  • Strong interpersonal and communication skills, both written and verbal.
  • CPA certification or progress towards certification is preferred.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
