Job Description

Overview

  • Serve as an Executive Assistant and Marketing Coordinator to support high-level executives in a dynamic e-commerce environment.
  • Coordinate scheduling, calendar management, and information flow for the Chief Marketing Officer and senior marketing leaders.
  • Manage domestic and international travel arrangements, including flights, accommodations, and expense management.
  • Provide administrative support, including handling confidential materials and exercising discretion in business interactions.
  • Assist with marketing project management for events, media, and partnerships as required.
  • Organize and lead staff and business meetings with internal and external stakeholders.
  • Create and maintain executive-level marketing presentations and reports.
  • Contribute to special projects and administrative tasks, ensuring alignment with organizational goals.
  • Embody marketing standards such as innovation, integrity, and calculated risk-taking.

Key Responsibilities & Duties

  • Coordinate and manage scheduling, calendars, and information flow for senior marketing executives.
  • Arrange and oversee domestic and international travel logistics, including accommodations and expense tracking.
  • Provide high-level administrative support, ensuring confidentiality and professionalism in all interactions.
  • Support marketing projects, including event planning, media coordination, and partnership management.
  • Organize and facilitate meetings, collaborating with internal teams and external vendors.
  • Develop and maintain executive-level presentations and marketing documentation.
  • Participate in special projects and administrative initiatives to support organizational objectives.
  • Maintain professionalism and discretion while handling sensitive business materials and communications.

Job Requirements

  • Bachelor’s degree in Marketing or a related discipline preferred.
  • Minimum of 5 years’ experience in executive support or administrative roles.
  • At least 2 years’ experience in marketing or account management within a marketing agency.
  • Proficient in Microsoft Office, with strong presentation creation skills.
  • Demonstrated ability to maintain confidentiality and professionalism in all interactions.
  • Strong organizational and time management skills, capable of multitasking effectively.
  • Excellent communication skills, with a customer service-oriented approach.
  • Willingness to travel up to 25% domestically and internationally.
  • Self-motivated and detail-oriented, with the ability to work independently and collaboratively.
