Overview
- Provide administrative and project coordination support to senior leadership in a hybrid work environment.
- Assist with program management tasks, including organizing meetings and managing workflows.
- Support research, writing, and proofreading for articles, speeches, and reports.
- Coordinate schedules, travel arrangements, and expense reporting using advanced tools.
- Collaborate with interns and contribute to team projects and initiatives.
- Work closely with leadership to ensure timely responses to inquiries and requests.
- Engage in special projects and additional duties as assigned by senior staff.
- Contribute to the organization’s mission through effective administrative support and research.
Key Responsibilities & Duties
- Organize meetings and maintain systems to streamline workflow for program management.
- Manage schedules and calendars using Microsoft Outlook and Zoom platforms.
- Prepare travel arrangements and expense reports using Concur software.
- Draft correspondence, screen emails and calls, and ensure professional responses.
- Conduct research and provide writing support for organizational materials and reports.
- Assist with intern supervision and contribute to team development efforts.
- Handle special projects and urgent tasks as assigned by leadership.
- Maintain confidentiality and discretion with sensitive information.
Job Requirements
- 5-7 years of executive-level administrative support experience in relevant industries.
- Bachelor’s degree or equivalent experience required; High School Diploma/GED minimum.
- Proficiency with Microsoft Office Suite, Zoom, Concur, Salesforce, and other tools.
- Strong organizational skills and ability to prioritize tasks effectively.
- Excellent written and verbal communication skills with attention to detail.
