Overview

Key Responsibilities & Duties
- Manage executive calendars, scheduling meetings, resolving conflicts, and ensuring optimal time management.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics.
- Prepare and edit correspondence, presentations, and reports for executive review and distribution.
- Handle incoming communications, prioritizing and responding on behalf of executives when necessary.
- Organize and facilitate executive meetings, ensuring all logistics and materials are addressed.
- Maintain and update records, files, and databases for executive reference and operational efficiency.
- Collaborate with internal teams to support executive initiatives and cross-functional projects.
- Provide backup support to other executive assistants and administrative staff as needed.
Job Requirements
- Bachelor of Arts (BA) degree or equivalent educational background required.
- Minimum of 10 years of experience in executive assistant roles, preferably in financial services or private equity.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication skills, both written and verbal, with meticulous attention to detail.
- Proficiency in Microsoft Office Suite and other relevant software tools for administrative tasks.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information and communications.
- Experience in coordinating travel arrangements and managing executive schedules efficiently.
- Flexibility to work onsite five days a week with paid overtime opportunities.
