Job Description

Overview

  • Provide high-level administrative support to senior executives in a dynamic private equity environment, ensuring seamless operations and communication.
  • Coordinate schedules, meetings, and travel arrangements with precision, confidentiality, and professionalism.
  • Contribute to the efficiency of the executive team by managing administrative tasks and streamlining processes effectively.
  • Work in a fast-paced financial services setting, requiring adaptability, proactive problem-solving, and attention to detail.
  • Collaborate with other executive assistants to maintain consistency and excellence in service delivery.
  • Ensure compliance with company policies and procedures in all administrative activities and decision-making.
  • Maintain confidentiality and discretion in handling sensitive information and communications.
  • Support executive initiatives and contribute to the success of high-profile projects and engagements.

Key Responsibilities & Duties

  • Manage executive calendars, scheduling meetings, resolving conflicts, and ensuring optimal time management.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics.
  • Prepare and edit correspondence, presentations, and reports for executive review and distribution.
  • Handle incoming communications, prioritizing and responding on behalf of executives when necessary.
  • Organize and facilitate executive meetings, ensuring all logistics and materials are addressed.
  • Maintain and update records, files, and databases for executive reference and operational efficiency.
  • Collaborate with internal teams to support executive initiatives and cross-functional projects.
  • Provide backup support to other executive assistants and administrative staff as needed.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background required.
  • Minimum of 10 years of experience in executive assistant roles, preferably in financial services or private equity.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication skills, both written and verbal, with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant software tools for administrative tasks.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information and communications.
  • Experience in coordinating travel arrangements and managing executive schedules efficiently.
  • Flexibility to work onsite five days a week with paid overtime opportunities.
