Job Description

Overview

  • Provide high-level executive support to the CEO and other senior leaders in a hybrid work environment.
  • Coordinate complex schedules, travel arrangements, and communications for C-level executives.
  • Prepare and edit correspondence, presentations, and contracts with precision and confidentiality.
  • Act as the primary liaison for the CEO, managing inquiries and prioritizing tasks effectively.
  • Support office operations, including vendor management and budget oversight.
  • Assist with logistics and materials for board meetings and executive events.
  • Conduct research and provide actionable insights on various topics as needed.
  • Collaborate with the CFO and VP of Continuous Learning to ensure seamless operational support.

Key Responsibilities & Duties

  • Manage and maintain the CEO’s calendar, scheduling appointments, meetings, and conference calls efficiently.
  • Coordinate domestic and international travel arrangements for the CEO and senior executives.
  • Prepare and edit professional documents, presentations, and contracts for executive use.
  • Handle incoming communications, prioritize tasks, and direct inquiries appropriately.
  • Assist in organizing and facilitating logistics for internal and external events.
  • Maintain office supplies and budgets, liaising with vendors for efficient office management.
  • Support the CFO and VP of Continuous Learning with administrative and operational tasks.
  • Conduct research and provide detailed insights on requested topics to aid executive decision-making.

Job Requirements

  • Bachelor of Arts (BA) degree required, with a focus on business or related fields preferred.
  • Minimum of 10 years’ experience as an Executive Assistant supporting C-level executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Excellent communication skills, both written and verbal, with attention to detail.
  • Experience in calendar management, travel coordination, and event planning.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Comfortable working in a hybrid setting with occasional remote work.
