Job Description

Overview

  • Support litigation practice group with administrative tasks and document preparation.
  • Assist attorneys and paralegals with conflict checks and engagement letters.
  • Maintain calendars, contact lists, and coordinate meetings and conferences.
  • Prepare business development materials, including presentations and proposals.
  • Review and ensure accuracy of monthly billing and compliance with engagement terms.
  • Upload documents and correspondence adhering to firm procedures.
  • Coordinate CLE training classes and manage administrative duties.
  • Provide proofreading support for grammatical and typographical errors.
  • Adapt to a fast-paced environment with changing priorities and deadlines.

Key Responsibilities & Duties

  • Perform conflict checks and prepare related documentation with accuracy.
  • Support attorneys with calendar management and meeting arrangements.
  • Coordinate travel arrangements and expense reimbursements.
  • Assist in business development activities, including client follow-ups.
  • Review billing for accuracy and adherence to special terms.
  • Proofread and prepare documents for internal and external communication.
  • Ensure compliance with firm procedures for document management.
  • Provide administrative support for CLE training coordination.
  • Adapt to dynamic work environments and prioritize tasks effectively.

Job Requirements

  • Bachelor’s degree preferred with 2+ years of relevant experience.
  • Proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and analytical skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple tasks and adapt to changing priorities.
  • Demonstrated teamwork and client-service-oriented approach.
  • Flexibility to work overtime as needed in a fast-paced environment.
  • Experience in administrative support within a legal or professional setting.
  • Keen eye for proofreading and ensuring document accuracy.
