Job Description

Overview

  • Provide administrative and operational support to office leadership and employees in a dynamic, fast-paced environment.
  • Coordinate office operations, including supplies management, mail handling, and meeting logistics.
  • Support the General Manager and team with scheduling, visitor management, and office access protocols.
  • Ensure smooth day-to-day office functionality, including equipment maintenance and kitchen stocking.
  • Assist with document storage preparation and invoice processing tasks.
  • Collaborate with other departments to address general office needs and provide additional support.
  • Participate in cross-training activities with the current Office Manager for seamless transition.
  • Opportunity for potential conversion to a permanent role based on performance and internal changes.

Key Responsibilities & Duties

  • Manage office operations, including supplies, mail, catering orders, and visitor management.
  • Coordinate meeting logistics, including scheduling and setup using Outlook and other tools.
  • Handle incoming and outgoing mail, packages, and document storage preparation.
  • Maintain office access protocols, including key fobs and guest check-ins.
  • Assist with invoice processing and general administrative tasks.
  • Support the General Manager and office leadership with executive-level assistance.
  • Ensure office equipment functionality and maintain a stocked kitchen environment.
  • Collaborate with other departments to address emerging office needs.

Job Requirements

  • High School Diploma or GED required; additional certifications are a plus.
  • Minimum of 2 years of administrative experience; 4 years preferred.
  • Proficiency in MS Word, Outlook, and Teams; strong technical skills are essential.
  • Excellent customer service, communication, and organizational skills.
  • Ability to work onsite Monday through Friday in a secure office environment.
  • Professional demeanor with strong attention to detail and reliability.
  • Proactive approach to tasks and ability to stay engaged during light workloads.
  • Comfortable in a fast-paced environment with a strong work ethic.
