Overview
- Provide comprehensive legal secretarial support in a dynamic litigation environment, ensuring seamless operations and high-quality document management.
- Collaborate with attorneys during all phases of litigation, offering administrative and organizational assistance.
- Prepare, proofread, and file legal documents, including audits, pleadings, and discovery materials.
- Maintain and update case databases, ensuring accurate tracking of case statuses and relevant information.
- Coordinate attorney schedules, client meetings, and travel arrangements to optimize efficiency.
- Assist in trial preparation, including organizing exhibits, indexing discovery, and preparing trial binders.
- Contribute to the firm's success by managing high volumes of client files and ensuring confidentiality.
- Support the transition to hybrid work arrangements, maintaining productivity and communication.
Key Responsibilities & Duties
- Format legal documents using advanced Microsoft Word features, including Styles, TOA, and TOC.
- Summarize case details and prepare comprehensive reports for attorneys and clients.
- Conduct research and fact investigation to support case development and strategy.
- Draft, proofread, and finalize legal documents, ensuring accuracy and compliance.
- File documents electronically with courts, adhering to deadlines and procedural requirements.
- Manage attorney calendars, coordinate meetings, and arrange travel logistics.
- Organize and maintain exhibits, briefs, and appendices for litigation proceedings.
- Assist with trial preparation, including binder creation and exhibit indexing.
Job Requirements
- Bachelor of Arts (BA) degree required, with a focus on legal studies preferred.
- Minimum of 5 years of legal secretarial experience, with 7 years preferred.
- Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Experience with e-Filing systems and litigation documentation processes.
- Strong organizational skills and ability to manage multiple deadlines effectively.
- Knowledge of motions, discovery, evidence, and litigation procedures.
- Excellent writing and communication skills with attention to detail.
- Flexibility to work beyond regular hours and adapt to hybrid work arrangements.
